Job Description / Duties

PURPOSE OF THE POSITION

Ensure the design and implementation of protocols and processes by which PWRDF volunteers are identified, supported, equipped and find high satisfaction in their volunteer capacity and in support of PWRDF’s mission and work.
DUTIES AND RESPONSIBILITIES
VOLUNTEER PROGRAM

• Develop and implement goals and objectives for the volunteer program which reflect the mission and goals of the organization
• Develop a budget for the volunteer program activities, administer and monitor expenses
• Develop, administer, and review policies and procedures which guide the volunteer programs and services, and reflect the overall values of the organization, recommending changes as appropriate
• Identify 2-4 key business processes that could enhance PWRDF’s work with volunteers, leading to their increased satisfaction and increased engagement
• Develop and administer forms and records to document volunteer activities; train and support volunteers in reporting on activities
• Recommend revisions and updates to volunteer position descriptions in consultation with Director as appropriate
• Develop and implement an intake and interview protocol for new volunteers, in conjunction with diocesan bishops, to ensure the best match between the skills, qualification, and interests of the volunteers and the needs of the organization
• Provide orientation and training to new volunteers to increase their understanding of the organization, its partners, its programs and the role and responsibilities of volunteers
• Support volunteers with tools for engagement, communication, workshop management, and fundraising, ensuring that volunteers have new materials on a regular basis
• Ensure new volunteers are briefed on and have signed relevant PWRDF policies
• Solicit feedback from volunteers on usefulness of resources, educational materials etc. provided by PWRDF and share feedback with CAPP team in order to develop simple, user-friendly methods to strengthen volunteers’ abilities to share PWRDF’s mission and work
• Encourage all staff to work effectively and cooperatively with volunteers; assist with conflict resolution between staff and volunteers
• Work with the Development and CAPP teams to determine how best to connect volunteers with partners and work being done in the field
• Establish a system of regularly checking in with volunteers to provide support, guidance, and performance management, ensuring an appropriate level of supervision.
• Identify opportunities for improvement in processes and protocols, communications and outreach with dioceses and parishes
• Share fundraising asks initiated by the Donor Relations and Fundraising Coordinator
• Establish and implement a process for evaluating the contribution of individual volunteers
• Plan and implement formal and informal volunteer recognition activities to recognize the contribution of volunteers to the organization
• Evaluate the risks associated with each volunteer position and take appropriate action to control the risks associated with the program or service
• Conduct ongoing evaluation of the effectiveness of the volunteer program and implement improvements as necessary
• Prepare an annual report on the contribution of the volunteer program to the organization

ORGANIZATIONAL RESPONSIBILITIES
• Perform routine administrative tasks related to this position
• Contribute to the building and maintenance of a mutually supportive relationship between PWRDF and ministries of the Anglican Church of Canada, including General Synod, Anglican Foundation, dioceses and parishes across the country
• Undertake speaking engagements and presentations on behalf of PWRDF
• Participate in institutional activities (e.g. team and staff meetings, policy development, matrices)
• Work within PWRDF policy, guidelines and strategic directions

Qualifications / Required Skills

III. JOB SPECIFICATIONS::

PREVIOUS EXPERIENCE, SKILLS AND EDUCATION REQUIRED
• Minimum 5 years of volunteer management experience
• Post secondary education in social sciences, human resources, community development, or adult education
• College certificate in Volunteer Management is an asset
• Knowledge of current trends, resources and information related to volunteerism
• Knowledge of the management of volunteer resources
• Proficiency in the use of computers including word processing, database management, electronic and web based communications, and presentations
• Excellent ability to interact and communicate with diverse stakeholders
• Strong time management skills and ability to balance and prioritise competing organizational needs
• Ability to work collaboratively within and across staff teams
• Ability to build and maintain positive working relationships with others, internal and external to the organization
• Ability to speak, listen and write in a clear, thorough, compelling and timely manner using appropriate and effective communication tools and techniques
• Ability to make clear decisions which are timely and in the best interests of the organization
• Proficiency in French is a significant asset
• Respect for and commitment to representing the Anglican Church of Canada, the Anglican Communion and the Christian community
• Commitment to global justice, people-centred development and the principles of accompaniment and partnership in a faith-based context
• CVA certification or the equivalent provincial association is an asset
• Membership in VMPC or the equivalent provincial association is an asset

PHYSICAL AND MENTAL EFFORT:
• Frequent periods are spent standing or sitting in the same location with some opportunity to move about. Occasionally required to stoop or lift light material or equipment.
• Work and environment are quickly changing and responsive. There is noticeable pressure from deadlines, production requirements, accuracy or similar demands. Capacity to resolve complaints effectively and with grace is required.

CONDITIONS UNDER WHICH WORK IS PERFORMED:
• Need for occasional evening and weekend work to meet deadlines and organisational needs
• Work within an open concept office and potential interruptions
• Travel within Canada
