Category: OtherThe Volunteer Resources (VR) Program Assistant has a passion for volunteerism. Working under the direction of the Volunteer Resources Coordinator, the Program Assistant provides administrative support, and assistance to a variety of volunteer resource services.
The Volunteer Resources Program Assistant may be the first contact within the office for volunteers and program staff in terms of day to day issues related to VR processes and systems. This position supports and models a customer service focus supporting volunteers in their placements and responding to service requests from stake holders and clients in a proficient and timely manner.
The work of the Program Assistant will include:
- Scheduling and conducting volunteer applicant interviews and volunteer orientations.
- Supporting the screening and training of volunteers and following up on related documentation.
- Arranging the placement of volunteers with program staff and assisting with general inquiries and follow up evaluation.
- Supervising and monitoring volunteers and making recommendations to the VR Coordinator as needed and appropriate.
- Creating, maintaining, and updating volunteer files in both electronic and paper forms.
- Generating and preparing reports as required.
- Assist in maintaining office supplies and special project supplies, as needed.
- Filling in at reception as required.
- And other occasional tasks such as preparing license agreements, taking and preparing meeting minutes, processing donation items, submitting requisitions for services as required.
All Management and Out of Scope positions are being reviewed for possible inclusion in the AUPE General Support Services bargaining unit. If this position is impacted, the incumbent will be notified accordingly.
Qualifications:
- Education in Volunteer Management or similar human services field is required.
- Personal and recent volunteer experience is required.
- Minimum of two years related experience in a volunteer service environment ideally in an organization of significant size, complexity, and diversity is preferred (healthcare experience is an asset).
- An equivalent combination of experience, education, and training may be considered.
- Ability to communicate effectively with a wide variety of stake holders and clients.
- A demonstrated clear pattern of professional and personal development.
In addition, the incumbent will possess a record of accomplishment in the following areas:
- Excellent knowledge of computer software including Microsoft Office Suite.
- Experience with Better Impact software is an asset.
- Strong track record in establishing and maintaining effective working relationships with internal and external stake holders.
- General knowledge of volunteer management standards of practice.

• All professions must provide proof of licensure or registration with the approved Alberta regulatory college, prior to commencing duties with AHS where applicable:
- Regulated health professions under the Alberta Health Professions Act and Health Disciplines Act will be required to provide an original copy of a valid practice permit before commencing their duties with AHS.
- Other professions governed by government acts, college or regulatory body requirements may be required to provide additional documentation.
