Job Description / Duties

Reporting to the Director of Resource Development, The Community Outreach Associate manages all elements of the volunteer program. Responsible for assessing the organization’s needs and then meeting those needs through recruitment of strategic and skilled volunteers for all areas within the organization, interviewing, placement, monitoring, evaluation, retention and recognition of all volunteers. The Community Outreach Associate will manage all volunteers and their relationships with staff and clients. They will advise on opportunities for volunteers to meet their civic responsibility and personal goals as they work to contribute to the mission and vision of 360°kids.

Direct accountabilities include:

Assess the overall volunteer program at present and creating the steps necessary to move the program forward to meet the needs of 360°kids.

Work with program staff to assess needs and develop job descriptions for each position requested.

Communicate with outside resources via website, social media, community events, postings, publicity campaigns etc., to covey opportunities to the community.

Identification/recruitment of new volunteers to support all Program Areas and ensure they are properly interviewed, screened, reference checked, oriented to the organization and matched to appropriate role and trained.

Monitoring, supporting, motivating and accrediting volunteers.

Staying aware of changing legislation, and policy changes as they relate
to volunteer sector.

Organize volunteer related events and assist in organization-driven
events.

Work with multiple community organizations/corporations across
different sect

Work with multiple community organizations/corporations across different sectors to engage volunteers and promote opportunities and to share best practices.

Monitor and evaluate all levels of the volunteer program through methods including feedback surveys.

Tracking volunteer hours and assist in developing reports needed for funding proposals.

Maintaining the volunteer database through Giftworks and Excel spreadsheets.

Work effectively with all staff and volunteers. Ensure that staff is providing necessary support to volunteers, stewardship and information for accurate tracking.

Manage Volunteer Program budget and resources, track expenses and reimbursement of expenses.

Raise awareness and train staff where needed about the need and importance of volunteers within the organization.

Oversee the Youth Ambassador Program, the corporate GIVE (Getting Interested in Volunteering and Engaging with 360°kids) program and Coordinate Day of Caring groups with the United Way.

Liaison with all volunteers and staff at program events and functions.

Responsible for being visible within the community and attending events such as church and school engagements, Chamber meetings, volunteer associations, corporations and other avenues to ensure opportunities are well known.

Work closely with the Senior Development Associate, Corporate and Foundation to identify and appropriately manage corporate prospects and donors within 360°kids.

Maintain and facilitate up to date presentations for school groups interested in volunteering and/or fundraising.

Support school groups and teachers in fundraising and awareness initiatives throughout the school year, including holiday giving and end of year activities.

Exercises judgment and initiative in managing contact with the appropriate Ministries and other interested parties.

Other duties as required.

Qualifications / Required Skills

Post-Secondary degree and/or diploma in a related field, or equivalent, preferably with nonprofit sector experience.

Minimum of 3 years’ experience in volunteer coordination and program staff support is essential.

Excellent communication, facilitation skills and interpersonal skills including superior presentation and public speaking skills.

Relationship building and management skills, to support relationships with peers, staff, partners and ministry officials, and other stakeholders.

Demonstrated experience with MS Office with the ability to prepare and write reports/records and maintain same.

Ability to effectively perform job duties with minimal supervision.

Ability to work as a team member in a dynamic, complex environment and organize time and workload effectively with demonstrated problem solving ability.

Broad knowledge of community resources and knowledge of the volunteer sector.

Strong time management and organization skills with the ability to effectively perform job duties with minimum supervision.

Valid driver’s license, a vehicle in good working order and proof of $2,000,000 vehicle liability.

Current vulnerable sector screening (criminal background check)

Current First Aid and CPR certification an asset.
