Job Description / Duties

ROLE SUMMARY
In accordance with the Vision, Purpose, and Values, and strategic direction of the Vancouver Island Health Authority
(Island Health) patient and staff safety is a priority and a responsibility shared by everyone; as such, the requirement
to continuously improve quality and safety is inherent in all aspects of this position.
Reporting to the Manager, Volunteer Engagement the Consultant is responsible for the maintenance and
administration of volunteer service programs including recruitment, screening, orientation, training, supervision, and
evaluation of volunteers. The Consultant supports the daily operations for patient/resident and client support and/or
service programs. The Consultant assists the Manager, Volunteer Resources in the promotion and development of
volunteer services internally and in the community.
DUTIES AND RESPONSIBILITIES:
1. Interviews, places, trains, supervises, and evaluates volunteers; monitors performance, including following up on
any issues or concerns and takes appropriate disciplinary action.
2. Communicates with volunteers to ensure they are kept up to date on procedural and program changes through
volunteer newsletters, memos, emails and meetings. Provides ongoing education and support by recognizing
volunteer contributions and scheduling guest speakers.
3. Participates in the coordination of recognition and appreciation initiatives for volunteers in assigned areas,
including Individual volunteers, community and corporate groups, to acknowledge volunteer contributions.
4. Functions as part of the multi-disciplinary care team in assigned areas to provide volunteer involvement and
implement new service assignments that supports the services needed.
5. Works with Manager, Volunteer Engagement to ensure services provided by volunteers are meeting established
objectives and outcomes.
6. Provides adequate, on-going training and support to enable volunteers to carry out the responsibilities of their
assignment.
7. Orients and educates site staff in the role of volunteers and the services of Volunteer Resources.
8. Schedules and/or attends volunteer team and site meetings as required.
9. Assists the Manager in developing the budget for their specific program area by reviewing past spending and
providing recommendations.
10. Performs other related duties as assigned.

Qualifications / Required Skills

QUALIFICATIONS:

Education, Training and Experience

• A level of education, training, and experience equivalent to a college diploma or university degree in Child and Youth Care, Health Sciences, Education, Social Sciences or related field
• A minimum of three years related experience
• Experience as a volunteer
• Experience leading volunteers is an asset

Skills and Abilities

• Strong team player
• Demonstrated experience coordinating and leading youth activities
• Demonstrated experience working with youth ages 15-18
• Demonstrated strengths in MS Office Suite and other administrative skills; understanding of volunteer databases an asset
• Solid understanding of the Volunteer Management Cycle
• Excellent communication skills, verbal and written
• Demonstrated ability to plan and organize events, in person and virtual
• Proactive mind-set, willing to create new connections and develop partnerships
• Ability to work independently, take initiative, and produce results with minimal supervision
• Physical ability to perform the duties of the position

Additional Information

Reporting to the Manager, Volunteer Resources and Engagement the Consultant is responsible for the maintenance and administration of the youth volunteer programming, including: recruitment, screening, orientation & training, supervision, recognition, and evaluation. In addition, the Consultant will work together with the Manager on program development, and with team members on site specific program implementation.

The Consultant will support the optimal functioning of the Volunteer Resources and Engagement team, stepping in to support other duties and actions as required.

DUTIES AND RESPONSIBILITIES:

1. Coordinates the recruitment and pre-screening of youth volunteers (15-18 years of age).
2. Supports youth on-boarding through the Volunteer Resources and Engagement database; maintains youth files in the database, ensuring data is complete, accurate and current.
3. Liaises with secondary school staff to promote the Island Health Step Up Youth volunteer program.
4. Conducts interviews and supports training and placement of youth volunteers.
5. In partnership with team members and through the use of virtual platforms, provides oversight and supervision to youth volunteers across the Island Health region.
6. Collaborates on program development and seeks partnerships which promote learning and opportunities within health care.
7. Coordinates and supports all virtual aspects of the Step Up Youth volunteer program.
8. Writes letters of reference supporting graduates of the program to move into health care related post-secondary or graduate programs and/or employment in the health care field.
9. Ensures record keeping is accurate and updated, and evaluation occurs regularly and is well documented.
10. Participates in the ongoing recognition of volunteers, plans and executes recognition events, and contributes to the team planning and execution of National Volunteer Week each year.
11. Establishes and maintains strong relationships with both internal and external partners.
12. Promotes learning opportunities for youth volunteers; recruiting guest speakers from the health care environment and exploring additional ways to engage youth in the health care environment.
13. Promotes a culturally safe environment which is welcoming, positive, and free from discrimination.
14. Performs other duties as assigned.
